Position: Office Coordinator
Department: General Administrative
Supervisor: Lisa Loehr, General Manager

Objective: The Office Coordinator is expected to perform a variety of duties related to administration. Responsibility for supporting and assisting other staff members in recruiting, training, retention, scheduling/service coordination, and administration.

Primary Responsibilities :
  • Work a Monday - Friday 8:00 am – 5:00 pm work week, with on call responsibilities.
  • Take incoming call from potential clients and decision makers inquiring about services.
  • Respond to internet inquiries for services through outbound calls and correspondence.
  • Follow up on all inquiries that do not result in an appointment.
  • Schedule clients and CARE Professionals in order to provide the highest quality of service to both parties.
  • Develop and implement new engagement strategies that utilize the 5 CARE Professional needs to strengthen relationships with employees, determine their needs and measure employee satisfaction.
  • Answer each incoming call in a friendly, professional and knowledgeable manner.
  • Monitor, mediate and log both client and CARE Professionals activity, and follow up on CARE Professional assignments and client service.
  • Interact with employees to cover daily staffing needs.
  • Secure coverage for vacancy shift, open position, vacations, per company’s needs.
  • Enter and maintain accurate client and CARE Professional records in Well Sky.
  • Demonstrate open and effective communication with Owner, General Manager, colleagues, and CARE Professionals.
  • Provide after hours on-call service duties as scheduled.
  • Other administrative duties as deemed necessary.

Knowledge, Skills and Abilities:
  • This position must have an understanding of and upholding the policies and procedures established by Maguire Senior Services, Inc., (d.b.a. an independently owned and operated Home Instead Franchise)
  • This position must demonstrate excellent oral and written communication skills and the ability to listen effectively.
  • This position must have the ability to work independently, maintain confidentiality of information and meet deadlines.
  • Ability to demonstrate effective interpersonal skills is essential as well as sound judgment, problem-solving and good decision making.
  • Must be a supportive team member, contribute to and be an example of teamwork and team concept.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with CARE Professionals, clients, family members, visitors, government agencies/personnel, and the general public.
  • Ability to organize and prioritize daily, monthly and yearly work.
  • Ability to establish good working relationships with office colleagues, the franchise owner, clients, CARE Professionals and the community.
  • Ability to present a professional appearance and demeanor.
  • Ability to operate office equipment.
  • Must be patient and congenial on the telephone and in person.
  • Must have computer skills and be proficient in Word, Excel and Publisher.
  • Knowledge of the senior-care industry.
  • Ability to perform duties in a professional office setting.
